Short, practical guides for using Chapter Hub at your weekly BNI meeting and through the rest of the week.
What is Chapter Hub?
Chapter Hub is a digital binder for BNI chapters. It replaces the printed business card book at the front table, the spreadsheet your VP keeps for visitor follow-up, and the laptop someone digs out to run the door prize draw on meeting day.
Your chapter's data is private to your chapter. Members and visitors who don't belong to your chapter can't see your roster, your visitors, or your meeting tools.
Visitor check-in at meeting day
For VPs and greeters
- Open your chapter's check-in URL on a tablet at the front table (it's on the Meeting tools page, with a QR code you can print or display).
- Visitors tap Scan or Upload Card, take a photo of the front of their business card, and crop it. The form fills itself in — name, company, email, phone — via OCR. Card photos are auto-enhanced (lighting and sharpness) so desk snapshots look clean, not like raw scans. A back-of-card upload is optional and appears once a front has been added.
- Anything the visitor typed before the scan is preserved — the scanner only fills blank fields. If a field looks wrong after the scan, just edit it.
- When the visitor hits Complete Check-In, their card images and full record are saved to your chapter and an admin notification email is sent.
- On Who invited you today?, search your chapter first, then search all of Chapter Hub by name or city. If the guest cannot find their inviter, they can enter the name manually for BNI Connect entry.
Working with visitors afterward
For chapter admins (VPs)
- Admin → Visitors shows every visitor your chapter has ever checked in, with thumbnails of their business cards.
- Click a thumbnail to open the full-size card image in a new tab.
- BNI Connect entry (under Visitors) — printable per-visitor entry sheets and a checklist to mark each guest after you enter them in BNI Connect (Connect has no CSV import).
- Export the list to CSV (with Card front URL / Card back URL columns) for your own records — use the Connect workbench for official visitor logging.
Visitor pipeline and follow-ups
For chapter admins (VPs)
- Admin → Visitors → View pipeline is a board that tracks each guest from check-in through membership (New → Contacted → Invited back → Applied → Joined).
- Day-3 and Day-14 follow-up emails go out automatically when a visitor left an email address. You can also send a follow-up manually from a visitor's card on the board.
- Joined on the board means they accepted membership in your pipeline — it does not add them to the roster. Always use Promote to member to create the
membersrow (and optionally send a login invite). - Use Promote to member when someone applies — Chapter Hub creates or links their member record and keeps the visitor history for your chapter. Check Send login invite email to email them a sign-up link in the same step (or use Send login invite email later on an already-promoted visitor).
Visitor analytics
For chapter admins (VPs)
- Admin → Visitors → Analytics shows conversion to joined member, active pipeline count, BNI Connect entry rate, and average days from first visit to joined.
- Weekly bars compare new check-ins vs visitors who reached Joined that week.
- The inviting member table ranks linked members from check-in. A separate table lists manual inviter names when guests typed a name instead of picking from search.
Platform email configuration
For platform admins
- Platform → Email config lets platform admins set Gmail SMTP or Resend, from/reply addresses, and send a test message without editing server files by hand.
- Use the Delivery log tab to see recent transactional sends (invites, follow-ups, feedback).
- Template edits apply to system emails; chapter-specific copy still comes from your chapter name and inviter when those emails send.
Refer another chapter to Chapter Hub
For chapter admins
- On Chapter home, use Refer another chapter when you know a president, director, or ambassador in another BNI group who could benefit from Chapter Hub.
- Submit their contact info — the Chapter Hub platform team reviews referrals and sends the official chapter-start invitation. This is different from Manage chapter invitations, which adds someone to your roster.
Meeting time, timezone, and late check-in
For chapter admins
- Admin → Settings — set Meeting time, Meeting timezone, and Mark as Late after (minutes) together.
- Self-check-in uses your timezone plus the grace window to decide Present vs Late — save settings once per chapter after any change.
Member directory and profile pages
- Your chapter has a public directory at
/c/your-slug— share it with prospects, post the QR code at meetings, or link it from your chapter's social. - Each member has their own public profile page with headshot, contact info, and business card images. The Save to contacts button downloads a .vcf file for phones.
- Edit your own profile from My profile (members) or any member from Admin → Members (admins).
Meeting day tools
For presidents and VPs
Admin → Meeting tools is the page to keep open at the front of the room on meeting day. From there:
- 🎲 Door prize spinner — fair random draw; quick-fill for members who brought a visitor or had a referral that week.
- 📎 Meeting content library — weekly deck and 10-minute presentation files (PDF previews inline; other formats download).
- Attendance — members self-check-in from the same QR as visitors; the VP roster shows Present, Late, Absent, or Substitute.
- QR codes for visitor check-in and the public member directory.
- Presenter rotation (under Meeting tools) — the Education Coordinator (or VP) sets who presents each week; this is separate from the annual EC officer assignment in Officer hub.
- Inter-chapter visits — log when a member visits another BNI chapter (search other chapters on the platform or enter the host chapter name). Useful for leadership reporting and PALMS follow-up outside Connect.
New member 90-day onboarding
- New members open Onboarding from the chapter menu for a 30 / 60 / 90 day checklist with a progress bar.
- Chapter Hub tasks (profile, first check-in, presentation prep) link in-app. MSP, 1-2-1s, and PALMS link out to BNI Connect — we don't duplicate official BNI training here.
- Admins see progress for recent joins under Admin → Members → Onboarding.
Announcements and polls
- Chapter feed (chapter menu) shows announcements and open polls between meetings.
- Admins publish under Admin → Communications — post news, create polls, and close voting when done.
Speaker prep for your presentation
- My presentation (chapter menu) shows a countdown to your next 10-minute feature slot, a BNI-style outline, and a place to upload your deck.
- Use the template picker for a 10-minute feature outline, a 60-second member spotlight, or a 5-minute education coordinator slot — each includes section timings and a walk-up checklist.
- Browse other members' shared 10-minute decks from the same page when your chapter allows it.
Inviting new members
For chapter admins
- Admin → Invitations emails a prospective member a one-time sign-up link tied to your chapter.
- For roster rows with No login yet, use Send login invite on Admin → Members — their company and classification are pre-filled; they only create a password to activate login. After a successful send the button shows Invite sent (and stays that way while the invite is still pending).
- Bulk import — Admin → Members → Import CSV lets you drop a roster spreadsheet. Chapter Hub maps common column names, normalizes emails and phone numbers to
(555) 555-0100format, validates BNI classifications, and optionally sends login invites in one batch. Download the sample CSV from that page if you need a template. - Resend, revoke, or watch invitations flip to accepted after sign-up. Expired pending invites show Renew & resend — that extends the link 14 days and emails it again.
- Self-serve join requests land in Admin → Join Requests for approve or reject.
Send feedback and track requests
- Send feedback (avatar menu) for bugs, ideas, or questions — you get a tracking number.
- Follow replies under My feedback in the chapter menu.
- Chapter admins triage and respond under Admin → Feedback; you'll get email when status changes or an admin comments.
Your account and password
- Change password or email at Account settings.
- You stay signed in across releases — no extra sign-in after a deploy.
- Forgot your password? On the sign-in page, choose Forgot password? and we'll email you a one-hour reset link.

Every release's user-facing changes are listed on the Release Notes page. The newest version is expanded by default.
Officer hub (leadership team)
For chapter officers and admins
- Admin → Officer hub — weekly checklists and live counts for your leadership team: President, VP, Secretary, Treasurer, Education Coordinator, Visitor Host, Membership Committee, Mentor Coordinator, Events Coordinator, and Chapter Ambassador.
- Assign titles under Admin → Members (one member per title). Greeter, timekeeper, and door-prize duties stay meeting-day tasks, not separate officer titles here.
- Pick a role from the dropdown to see that officer's metrics and checklist links.
Regional leadership (Director, Ambassador, Area)
For chapter admins
- Admin → Manage chapter → Regional leadership invites people who support your chapter regionally — Chapter Director, Chapter Ambassador, or Chapter Area — without adding them to the roster or using a membership seat.
- They receive an email with a one-time accept link. After they sign in, they get chapter admin access the same way your VP does, but they do not appear on the public member directory.
- If someone later joins your chapter as a paying member, invite them through the normal roster flow — regional leadership and membership are separate.
- Users linked to more than one chapter see Switch chapter under their avatar menu.
Bulk member import (CSV roster)
For chapter admins
Use Admin → Members → Import CSV when you already have a roster spreadsheet and want everyone on Chapter Hub without typing each member by hand.
- Drop your CSV on the import page (or click to browse). You do not need exact column names — we recognize common headers like Name, Email, Business, Mobile, Category, or split Category Parent + Category Sub.
- Chapter Hub normalizes each row: trims names, lowercases emails, and formats US phone numbers as
(555) 555-0100before import. - Download sample CSV from the import page if you want a starting template with the canonical columns: name, email, company, classification, phone.
- Seat names are matched against the official BNI classification list (including a Category (Other) specialist slot per group, as in BNI Connect). Connect exports that still differ can be mapped or created as chapter-only seats under Seats to confirm.
- Check Send login invites to email each new roster row a sign-up link tied to their member record — same as sending invites one-by-one from Members.
- BNI seat uniqueness still applies: one active member per classification per chapter. Rows that conflict with an existing seat or email are skipped and listed in the preview.
